Making an interlibrary loan request

Who may make interlibrary loan requests?

You must be a currently enrolled student, staff, or faculty member of Mat-Su College with a valid library card. The barcode on the back of your student ID card needs to be activated before you can use it. If you have never checked out anything from the library, your card is not active.

Before making a request

Please make sure the item you would like to borrow is not available in any of the databases to which UAA subscribes by using Journals A-Z.

What information do we need?

The minimum information that we need for locating a journal article is:

  • Your name, library card number, and contact information
  • The article's title and author
  • The name of the journal or magazine in which it was published
  • The date the article was published

Other helpful information to include:

  • The name of the database where you found the citation
  • The page number that

Making the request

In order to make an interlibrary loan request at the Alvin S. Okeson library, you must be a registered student of Mat-Su College.

The Okeson Library offers several methods for placing an interlibrary loan request depending on the type of material and source used to locate it.

  1. If you are in the library and are looking at a database record for something you would like to get, print the record, write your name, student ID number, and phone number on the page, and hand it to a library staff member.
  2. Use the "Interlibrary Loan" link to the left and fill out the form. Once you submit the form, your request will be e-mailed to the person who handles ILL requests for the Mat-Su College library.
  3. Databases that have "Alaska Library Network" in the upper left corner allow you to generate ILL requests from within the database. To order an item from within one of these databases, you will need to be on a screen that describes an individual articles rather than one that lists several of the items from your search. If you are on a screen that lists several articles, select the item you want to order by clicking on its title. Once on the screen that describes only that article, you will need to be careful of the links you follow because you do not want your ILL request to be routed to the UAA Consortium Library by mistake:

    In the "Get This Item" section located just below the gray box with the citation information will be a section like the one in the above illustration. Choose the one that says "Order via Interlibrary Loan".

    The page you see after following that link appears to prompt you to login to the ILL Department at the Consortium Library on the Anchorage Campus to complete your request. Don't do that. Once you are identified by them as a Mat-Su College student, your request may get lost.

    Instead, click on the "ILL at UAA Extended Campuses" link.

    That link will take you to the screen that allows you to select the form that will submit your request to the ILL Department at Mat-Su College.

Factors to Consider

Interlibrary loans are not something you should put off until the last minute because there are several factors that can delay the delivery of your item.

  • If the request contains insufficient information to locate the item, a library staff member will try to contact the person who submitted it.
  • It can take time to locate a library that both has the item and is willing to lend it. Once the request is received, it is entered into to the system by our staff member and sent by an automated control system to one other library that is listed as an owner of that item. Normally, they will send the item to us. Sometimes the item is already checked out or has been lost or damaged. In that case, that library will forward the request to another library. Processing time is 1-3 days, but it can be more.
  • Fees may be charged by the lending library. The Okeson Library subsidizes interlibrary loan requests up to $10 per request. If the lending library charges more than $10 for ILL deliveries, your request will be placed on hold until you agree to pay the additional cost. If you do not approve the cost, your request will be forwarded to another library if another is available that owns the item you would like to borrow.
  • When all of the factors are added together, delivery of an interlibrary loan request can take anywhere from 2 days to over three weeks. Journal articles typically arrive within one week.
